How much popcorn per person? Portions for your event
How much popcorn per person to allow at an event: portions, 45 g boxes, how many a cart serves per hour and when to move up to the XXL wagon.
It is the first question almost everyone asks when they book a cart: how much popcorn per person should I allow? Close behind comes the second: will one cart do, or do we need two? The answer depends less on headcount than on the rhythm of the event. In this article we give you the figures to work it out yourself, with examples.
The portion: one 45 g box per person
Our standard portion is a box of around 45 g of popcorn. It is a 12.5 cm box, small enough to finish without getting butter on your clothes or leaving half a box abandoned on a table.
For planning, the rule is simple:
- One box per person at events of two or three hours where people visit the cart once.
- 10-20% extra if the cart is open for a long time and people come back for more.
- Per day, not per unique visitor, at multi-day trade shows and conferences: people come back every day.
If you prefer the large 20 cm box, the portion is more generous and the cart serves half as many boxes in the same time. Factor that in.
How many a cart serves per hour
This is the crux. What matters is not so much how much popcorn the machine makes, but how many boxes one person can serve comfortably without long queues.
What the machine makes
The machine on our standard cart, the RCPW-16E, has a capacity of 5-6 kg of popcorn an hour. Each batch takes about 150 g of corn, 50 g of sugar for sweet popcorn and 50 ml of oil, and is ready in a few minutes.
What the cart serves
In practice, with one operator popping, filling and handing out boxes, a comfortable service rate is around 60 boxes of 45 g an hour. For planning:
- 1 hour: 60 boxes.
- 2 hours: 120 boxes.
- 3 hours: 180 boxes.
The gap between what the machine produces and what gets served is a useful buffer: it lets the operator get ahead before a rush. The cabinet keeps popcorn warm, so it can be filled just before the doors of the main hall open.
What do 8, 16 and 32 oz mean?
If you have looked at popcorn machines, you will have seen sizes in ounces. The ounce (oz) tells you how much corn fits in the kettle per batch. One ounce is about 28 g, so an 8 oz machine pops batches of around 225 g of corn, a 16 oz machine twice that and a 32 oz machine four times as much.
More ounces mean bigger batches, but not always more boxes served: if one person is serving, service sets the limit. Big machines make sense when the cart is designed for them and the event has peaks with lots of people at once.
Do the maths: three examples
Wedding with 120 guests, two-hour evening snack
120 boxes in 2 hours. One cart serves 120 in that time: one cart is enough. If you want sweet and salted at the same time, think about which will be more popular or add a second cart, especially for coloured popcorn: each cart does one colour.
Conference with 400 delegates, cart open all day
A cart open for 7 hours serves around 420 boxes, enough for 400 people. But at a conference people don’t arrive evenly: they pour out of sessions together. If the break lasts 30 minutes, the cart can’t serve 400 boxes in that time. Solutions:
- Start popping before the break and fill the cabinet.
- Place the cart in a through route so people visit outside the breaks.
- Add a second cart for the peaks.
Stand at a three-day trade show
Here you don’t count by attendees but by show hours. A cart open for 8 hours serves around 480 boxes a day, roughly 1,440 over three days. If you are printing custom boxes, that is your starting figure for the print run, plus a margin for set-up and damage.
When to step up to the XXL wagon
The standard popcorn cart covers most weddings, company parties and stands well. But some events call for something bigger:
- More than 300 guests with peaks, such as conference breaks or the end of a show.
- Large venues or outdoor spaces, where a small cart gets lost.
- Brand activations where the cart is the visual centrepiece and must be seen from afar.
For those, we have the XXL popcorn wagon: a red four-wheeled wagon with a canopy, built for larger machines and with more surface for your branding. We confirm its exact capacity, depending on the machine, in your quote. At very large events it can also be combined with one or more standard carts spread around the venue.
Other factors that change the numbers
- Time of day. People ask for less popcorn after lunch than mid-afternoon.
- What else is on offer. If there are other sweet carts, such as candy floss, demand is shared.
- The audience. Children eat less per box but come back more often. At a family party, count them as adults.
- Sweet or salted. Salted goes with drinks; sweet is more of a dessert.
Frequently asked questions
How many grams of popcorn is one portion?
At an event, around 45 g per person, which is what fits in a standard box. It is a portion designed to eat standing up and carry on with the event.
Will the popcorn run out during service?
No. Consumables are included without limit for the hours booked: corn, oil, salt or sugar and packaging. The limit is the service rate, not the product.
How many carts do I need for 500 people?
It depends on how many hours it is open and whether there are peaks. With a long, spread-out service one or two may be enough; with a short break and everyone at once, you will need more, or the XXL wagon. Send us your timings and we will work it out in your quote.
