How much popcorn cart hire costs depends on hours, guest numbers, branding and location. We explain each factor and what should be included.
If you are trying to find out how much popcorn cart hire costs, you will have noticed that hardly anyone gives a fixed figure. It isn’t about hiding it: the price varies a lot from one event to the next. A two-hour wedding evening snack in Barcelona is not the same as three days at a Madrid trade show with a wrapped cart and logo boxes. In this article we explain what affects the price, what should be included and what details we need to give you an exact quote.
Why there is no single price
A popcorn cart isn’t just the machine. It is the machine, the cart, the operator, the ingredients, the packaging, transport, set-up and collection. Each of those varies with the event. That is why a “from” price without context usually ends up being something else once the details are pinned down.
What affects the hire price
1. Hours of service
This is the main factor. Service is booked by the hour and the operator pops and serves non-stop during that time. More hours means a higher total, although the cost per hour tends to fall on long services because transport and set-up are spread out.
2. Guest numbers and number of carts
One cart serves around 60 boxes an hour. If the event is large or has peaks with many people at once, you may need a second cart or the XXL popcorn wagon. We explain it with examples in how much popcorn per person.
3. The type of cart
The standard popcorn cart is the simplest format. The XXL is a bigger four-wheeled wagon with a canopy, and is quoted differently. Cooking carts, such as hot dogs or burgers, involve more equipment and ingredients and vary too.
4. Branding
Branding is optional and quoted separately. It depends on:
- The cart vinyl or panels: how many sides are covered and whether it is for one event or several.
- Logo boxes or cones: the run and the size. Bigger runs bring the unit cost down.
- Other items: napkins, signage or the XXL canopy.
- Lead time: with little notice, rush printing costs more.
5. Location and travel
Our warehouse is in the Barcelona area. Nearby events involve simple travel; for Madrid, where we go often, or other cities, the quote includes transport and, if needed, accommodation for the operator.
6. Set-up, timings and access
- Unusual hours: early-morning set-ups, late-night service or collection the next day.
- Trade shows: venues usually set build-up for the day before, with their own loading slots.
- Access: stairs without a lift, small goods lifts or long distances from the loading bay all lengthen set-up.
7. Number of event days
A multi-day event isn’t priced by multiplying one day by three. The cart stays set up, transport happens once and the price per day is usually lower.
8. The date
In wedding, trade show and Christmas season, carts get booked well in advance. Booking early doesn’t always change the price, but it does make sure a cart is available.
What the price should include
When comparing quotes, check that they include the same things. Ours itemise:
- An operator with a food handler’s certificate for the whole service.
- Unlimited consumables during the hours booked: corn, oil, salt or sugar and standard packaging.
- Transport, set-up and collection.
- Ingredient and allergen sheet if you need it.
A cheaper quote may leave out the operator, cap the portions or charge transport separately. Always ask.
Costs that don’t depend on us
Some event costs are worth keeping in mind and are usually covered by the organiser or the venue:
- The power point at trade shows, which the venue charges to the exhibitor.
- Venue catering rules, which sometimes require specific paperwork or insurance.
- Parking or loading in city centres.
How to fine-tune the budget without losing quality
- Match the hours to the key moment. Two hours at the peak of the event beat five hours with an empty cart.
- Combine carts. Popcorn and candy floss share transport and set-up. Ask us about combinations.
- Brand what gets seen. If the budget doesn’t stretch to everything, prioritise the boxes: they travel round the event.
- Order boxes for several events. A larger run lowers the cost per box.
- Ask about options without an operator for small private parties, depending on the cart and the event.
How to compare two quotes
Two popcorn cart quotes can look the same and not be. Before you decide, put them side by side and check:
- Actual service hours, not time on site. Some count set-up within the booked hours.
- Portions: whether they are unlimited during service or capped at a set number of boxes.
- Box size: serving the standard box is not the same as the large one.
- Who runs the cart and whether they are trained in food handling.
- Branding: whether it covers design, printing and fitting the vinyl, or only part of it.
If an item is missing, ask. A clear quote saves you surprises on the day.
